Summer Conference Housing

Housing & Residential Life is proud to host summer conferences at Florida International University. Housing & Residential Life offers temporary accommodations for conferences, groups stay in the University Park Towers (single occupancy) or Everglades Hall (single occupancy) at the University Park Campus. The University Park Towers is an apartment building with each apartment consisting of four private bedrooms, two bathrooms, a kitchen, and a living room. Everglades Hall is an apartment building with each apartment consisting of three private bedrooms, one bathroom, and a kitchen.

Guests can bring their own television, basic cable service is provided in each apartment. Each apartment complex has a laundry room and several lounges that can be reserved for conference groups.

For those conference groups interested in the Biscayne Bay Campus, Housing & Residential Life does provide limited conference housing at Bay Vista Housing. A variety of apartment types (single occupancy) are available. Each apartment is equipped with a refrigerator and stove. Bay Vista Housing has basic cable.

Conference Agreement

Submit a Summer Conference Housing Request as early as possible. This request should indicate: conference arrival and departure dates, approximate number of spaces required, linen requests, and the participant to staff ratio. If space is available, upon receipt of the request for Summer Conference Housing, then a letter confirming the details of this request will be sent to the initiating group. If space is unavailable, written verification will be sent. Any group seeking use of Housing & Residential Life facilities will be required to sign a Conference Housing Agreement.

Deposits

Upon signing the Conference Housing Agreement, the conference group will be required to submit a deposit representing 20% of the estimated total cost. This deposit will be applied towards the final itemized bill. Failure to post a deposit will void the Conference Housing Agreement and relieves Florida International University and the Department of Housing & Residential Life of any obligation to hold or reserve spaces.

Insurance

The Conference Housing Agreement requires the Purchaser to provide liability insurance covering the Purchaser and Program Participants for property damage, personal injury, and death in the amount not less than one million dollars ($1,000,000) for each claim, one million dollars ($1,000,000) for each occurrence, and one million dollars ($1,000,000) combined single limit.

This policy is to list Florida International University Board of Trustees, Florida International University, the Florida Board of Governors, the State of Florida, and their respective trustees, directors, officers, employees, and agents are listed as additional insureds and as loss payee as its interests may appear. The purchaser shall provide to the University a certificate and policy endorsement of said insurance no less than fifteen (15) working days before the Agreement arrival date.

Cancellation

If the Conference Housing Agreement is canceled by the Purchaser thirty (30) days or less before the contracted arrival date, the Purchaser is liable for any direct costs incurred by the University in preparation for fulfilling the Agreement and liquidated damages in the amount of 20% of the total estimated contracted costs for Housing. Cancellation charges and liquidation damages will be taken from the deposit and where necessary, additional billings will be made to the Purchaser.
